What is an Education credential file?

A credential file is a packet of information about candidates for employment or graduate school. The file consists of a summary page, an unofficial KU transcript and letters of reference. The material is sent to an employer or graduate school when the candidate is applying for a job or applying for admission to graduate school.

Who should have an Education credential file?

Anyone who has completed 12 credit hours at the University of Kansas may open a credential file with University Career Center (UCC).

Candidates for employment in educational institutions are the primary users of credential files followed by those seeking admission to graduate school. Files are most frequently established for: elementary and secondary teachers, special educators, school administrators, college and university professors, school guidance counselors, school social workers, school psychologists, speech pathologists and other specialists.

How is the Education credential file used?

The credential file is sent at the candidate's request after an application has been submitted. Credentials should not be sent before a letter of application.

Upon request, UCC photocopies all materials contained in the file, places the materials in a professional quality cover and mails the material to a potential employer or graduate school.

Employers and graduate school admission officers peruse the file to determine the candidate's qualifications.

Credential File Forms and Information

Forms can be completed on your computer by using the hand tool available in the Adobe Reader application. For best printing results, be sure you have Adobe Acrobat Reader 5.0 or newer. Comments on the forms will print if you have a version older than 5.0. Download Adobe Acrobat Reader

Request to send an Education credential file

Once a credential file has been set up, and you have submitted a Transcript Request/Release form to the Registrar's Office, you may e-mail the credentials manager with the complete address to which you would like credentials sent. Be advised that the packet will not be sent until a payment of $6.00 per set has been received by our office.

Medical Credential File

Students wishing to apply to medical school should start a file by first making an appointment with Paul Crosby, Medical Professions Advisor in the CLAS Undergraduate Services Office (785-864-3500). Students will get the information and forms/envelopes from his office. The reference writers will send the Evaluation Letter Cover Sheet form and recommendation letter directly to UCC in the envelope provided.

On June 15, 2006, UCC started submitting medical letters of reference electronically, in most cases, via Virtual Evals; excluding dental schools and a few non-participating medical schools.

To send your file to a medical school once your file is complete, fill out the "Medical Student's Request to Send" form and submit it and the $35.00 fee to Charlotte Leonard, 110 Burge Union or cleonard@ku.edu. Your file will be uploaded into the Virtual Evals system and the schools you wish to have access to it, will be attached and notified. We accept Visa, MasterCard, American Express, Discover, and E-Checks via our website (see insert in upper right of this page).  We accept Visa and Master Card via telephone if you wish to pay in that manner (785-864-7680). We also accept cash and checks in person.

Each student is allowed one file which consists of the letters of recommendation you wish to have as your permanent file. You will not be able to add or delete from this file. Therefore, you must have all your letters in your file before UCC uploads it into Virtual Evals. You may send to one or more schools and later send to more schools if you wish. These rules are set by the medical schools, not UCC.

If you want your file to be sent to a non-participating school, we can U.S. Mail that file at a cost of $6.00.
