Timeline for Administration of College Scholarships
January – Check with budget (Stephanie Miller) to determine scholarships available and estimated amounts. Official reports are typically available in March, but we can’t wait to promote until then. Stephanie will prepare available dollar amounts for your, so that you can determine how many awards to give out to students. The awards will be divided equally for each semester.
Begin promotion of scholarships. Scholarship applications will be posted to College website and e-mailed to College students during the first week of Spring classes. In addition, the Honors Program and Chairs and Directors will be notified so they can encourage talented students to apply.
March -- Folders will be made for each applicant and database created to track eligible applicants for each scholarship. This needs to include their name, ID number. Track when the references come in because you will get a lot of phone calls from students wanting to know if their references arrived. Also make sure that you note which specific scholarships they are applying for by using multiple worksheets within your workbook.
We need to transfer all the applications to Amber Blackmore one week after the deadline. Use hanging folders and black crates to transport them. They should each have a folder and be alphabetical.
April –Amber Blackmore will brief the CUSA advising and scholarship subcommittee on the scholarships they will determine and explain the process for reviewing applications.
Deadline for applications in 2008 will be March 31.
Amber Blackmore will ask the Office of Student Financial Aid to run a "need" report, since some of the scholarship funds specify need as a requirement.
CUSA subcommittee will meet the third Tuesday of April to determine scholarship recipients. Following determinations, the committee will notify the Deans office of the recipients and amounts to be awarded. This is also handled by Amber.
May – Student Academic Services will send scholarship notification letters to recipients, ccing Office of Student Financial Aid (Patrick Wilbur) and Stephanie Miller in the College Dean’s Office. Letters should include recipient name, scholarship name, amount and student ID number. Information must be provided to Student Financial Aid by early July for posting for the 2008-2009 academic year.
Kristi Henderson will write news release for University Relations, working with Mary Jane Dunlap to ensure notification of hometown media of recipients.
June – Explore letters to legislators announcing scholarships
received by their constituents. This idea was suggested by the Provost on 11/6.
May possibly be administered by Marlesa Ronsey or Government Relations.
