Frequently Asked Questions about ARTS(last updated 8/27/2010)
I heard that PeopleSoft and/or the new Advising Tool will replace ARTS. Is this true?
We have begun our implementation of PeopleSoft Academic Advising, using the KYou Portal Advising Tool (login and click on the "Advising" tab) as the interface. The PeopleSoft Academic Advising software will replace ARTS in 2012, as soon as we are able to successfully replace the functionality ARTS provides. Our target date for go-live was 8/1/2010 for Advisors to begin looking at the degrees for quality assurance purposes. We want to go live for advisor-only viewing for the beginning of main advising Fall 2010. We have not set a date when students will be able to view their own degree progress reports on this system. The rough order of schools we've started with is the following:
- Liberal Arts (BA & BGS only)
- Engineering Undergraduate
- Pharmacy Professional and Pre-Professional
- Law (JD)
- Nursing (BSN, MSN, and PhD)
- Journalism (Undergrad only)
- Social Welfare (BSW, MSW, & PhD)
- Business Undergraduate
- Architecture & Design (undergrad)
- Master of Urban Planning
- Liberal Arts BS (late 2011)
- Education Undergraduate (late 2011)
- MBA (late 2011)
- School of Music (late 2011)
Others will be implemented at times to be determined.
Update for 9/7/11: At the September 2011 Advising Tool Stakeholders' meeting, there was an agreement that-pending quality control is met for the remaining project milestones-students would begin to access their Degree Progress Reports in the KYou Portal Advising Tool in March of 2012 for Main Advising. At that time, we will also give (non-advising) administrative staff access to run Degree Progress Reports and Advising Reports for students and other staff. Training and/or presentations about the new system will happen late in 2011 or early in 2012. Stay tuned for further developments.
The student I just pulled up on ARTS has multiple old plans. How do I get only one to show up?
The student's plans may all be inactive. If this is the case, ARTS won't know which plan(s) to display, so it pulls all of them. Once the student is active in a plan again, the inactive ones will disappear from the ARTS form.
When do the GPA's for the terms start calculating?
Term GPA's for the last semester do not show up on ARTS forms until the beginning of the next term. Many schools' forms
have separate GPA's for the previous terms and "Calculated" GPA's on their forms that you can use until the next semester begins.
I want to do an honors/probation report. Can I use ARTS to do it?
You can get this information by using the ARTS Report Wizard (see the main page for an instructional document).
When is ARTS going on the Web? Can I generate ARTS forms for my students? The web site information about my school is incorrect! How do I change it?
This project is complete (version 1.5). There are many more things we'd like to do with ARTS forms on the web that we are saving until the Summer/Fall 2007 enrollment period (version 2). There is a pilot webpage that some advisors can access through the KYOU Portal called the ARTS Web Advisor. We are limiting advisor access to that webpage because we don't want to cause excessive delays for students' ARTS forms, which uses the same system. Our goal is to eventually allow all advisors to access the website for ARTS forms and do major shopping for students. Currently, the wait for requesting your ARTS form over the web is approximately 30 seconds. The link for getting ARTS forms is at www.artsform.ku.edu. As for changing your school's advising and enrollment information, we can do that--just submit changes to Mark Pickerel.
Oops! I missed training because I'm too busy, etc. When can I get training?
Mark will be conducting training sessions throughout the year, on a limited basis as time permits. In addition to Basic and Advanced training sessions, he can conduct specialized training on some of the underused features of ARTS. He will e-mail everyone about these when he sets them up.
How do I view an ARTS Form in the system?
When you have the ARTS Form Generation Screen up, click on the "View" button.
I have tried to use the system, and X doesn't work or I get an error message I don't understand. What do I do?
E-mail me at mpickerel@ku.edu with the message and your station number (lower left corner of the main ARTS menu) if you can provide it. There might still be some kinks to work out with the interface, or perhaps your configuration needs to be tweaked a bit.
I just made an EFS NOTE entry for a student, and it doesn't show up on his ARTS form if I use the system to run it. What's up?
Make sure that you select the correct school external org code for a NOTE entry and select the correct term. If you are not sure which institution, you can leave the institution field blank and it will print for all corresponding terms that match the term field for the note.
I don't have the system yet, and I wish they'd hurry up and install it on my computer. Why don't I have it installed yet?
Have you completed and returned your Usage Agreement? Go to this link to print out your Usage Agreement and return it if you haven't already done so. If you have completed all of the necessary forms and are just waiting for an install, we are no longer responsible for ARTS installs; they are arranged by Account Management. Please send me a reminder e-mail if you haven't been called or e-mailed about an install appointment for over a week since your request.
